Help desk software turns customer messages into tickets that a team can assign, track and close, so nothing lives in one person's inbox. For a small Shopify store, the right pick depends less on the feature list and more on which channels your customers actually use.

What help desk software does for a small business
The market is big and growing: SupportBee cites a projection of $23.58 billion for the global help desk market by 2035.
When a shared inbox stops working
You don't need a help desk the day you start. When a shared inbox gets messy, a lightweight option like Hiver may be enough. (Our piece on CRM help desk software covers why customer history matters.)
Which channels your help desk needs to cover
Pick on channels first. A tool that handles your email beautifully but ignores where your customers actually reach you just moves the mess.
Start by listing every way a customer can reach you today: email, a contact form, social messages, live chat and phone. Then note which two or three carry most of your volume. That short list is what you hold each tool up against, and it keeps a long feature page from steering the decision.
Here is how Freshworks describes three of the common options:
- Zoho Desk routes queries from email, phone, live chat, social media and web forms into one ticketing workspace.
- HappyFox centralizes email, live chat, social media, phone and web forms into one ticket queue, with support in over 35 languages.
- HubSpot Service Hub consolidates email, live chat, web forms, Facebook Messenger and WhatsApp into a shared inbox. Phone isn't in that description.
Help Scout, per SupportBee, takes an email-centric approach. If your support is mostly email, that's a feature, not a flaw.
Why "phone as an input" is only half an answer
Zoho Desk and HappyFox list phone, which sounds like the problem is solved. It isn't. Check who answers the call when phone is listed as an input.
So the real question isn't whether the tool accepts phone. It's who answers the calls, and what lands in the queue afterward. We'll come back to that in the last section.
Simple, SaaS, PHP or free: choosing the type of help desk system
These searches mix two questions: how the software is delivered, and how much it costs.
- SaaS help desk: you sign up, the vendor hosts it and updates it. HappyFox, for example, is a cloud-based help desk.
- Self-hosted or PHP help desk: a different delivery model from SaaS, where you run the software yourself instead of signing up to a hosted product.
- Simple help desk: the lightest setup, often built on email.
- Free help desk: a free tier of a paid product, or a free self-hosted tool.
Is a PHP help desk like HESK worth it?
The tradeoff is simple: a self-hosted tool moves the setup, upkeep and uptime onto you, while a SaaS tool leaves them with the vendor.
For a store owner who already wears five hats, that's rarely a good trade. If you have a developer on hand and a low ticket volume, it's a fair option.

What free tiers really give you, and what small business help desks cost
Free tiers are real, and they have edges. According to SupportBee, Freshdesk gives you 2 agents, Zoho Desk gives you 3 agents, and HubSpot Service Hub gives you basic tools.
Help Scout is different. HeroThemes says Help Scout offers a free plan for up to 5 users, with a monthly contact limit of 100.
How to read a free tier
Two limits decide whether free works for you: seats and volume.
- Agent limits cap how many people can work tickets. Two or three agents is fine for a founder plus one helper.
- Contact limits cap how many customers you can serve. Help Scout's free plan allows 100 contacts a month, so count how many different customers write to you in a busy month before you rely on it.
- "Basic tools" (HubSpot) is vague. Open an account and see which reports and automations are missing before you build around it.
A free tier is a good way to test whether your team will actually use a help desk. It's a poor place to run a store through a holiday sale.
If you do start on a free plan, decide in advance what would make you upgrade. A simple trigger, such as hitting the agent or contact limit, keeps you from drifting into a cramped setup. It also gives you a date to review whether the tool is earning its place in your week.
Write that trigger down where your whole team can see it. Then nobody has to guess whether a tool is working, and you can compare the free tier against what your customers actually asked for during the trial period.
What paid plans cost per user
Add up every person who will answer customers, including a part-time helper, before you compare plans. The word to watch is "per user".
Before you pick any tier, write down your agent count, your monthly contact volume and the channels you need, then test one tool against that list for a week. For a wider look at pricing across the market, see our guide to customer service software.
How to choose: a short checklist by team size and channel mix
Start with who is on your team, then match the channel mix.
One person, mostly email:
- Try a lightweight tool like Hiver, or Help Scout's free plan.
- Don't pay for channels you don't use.
Two or three people, email plus chat or social:
- Look at Freshdesk (2 agents free) or Zoho Desk (3 agents free) first.
- Confirm each channel you need is covered before you migrate anything.
Small team already on a CRM:
- Consider HubSpot Service Hub if you already live in HubSpot. Its listed channels are email, chat, forms, Messenger and WhatsApp, so plan for phone separately.
Team that wants every channel in one queue, phone included:
- Check HappyFox or Zoho Desk, which both list phone as an input.
- Then ask who actually answers the phone, because the queue can't do that for you.
Before you buy anything, count your calls. Check your phone logs or voicemail for a typical month and compare that number with your email and chat volume. If phone is a meaningful share of contacts, the help desk is only half the decision. Small business customer service statistics can help you size the problem.
How Ringly.io handles phone calls next to your help desk
Ringly.io is AI phone support for Shopify brands. Seth answers your calls, looks up the order through the Shopify integration, and hands the rest to your team. For help desk users, the useful part is what lands in your queue afterward.

With Zendesk connected, calls that need a person arrive as tickets with a summary, the full transcript and a link to the call in Ringly. With Gorgias, every Seth call lands as a ticket, not only the ones that need a person, with the customer matched and tags for outcome and category. Twilio lets you keep a number you already own, and a custom skill can call any API during a call.
AI Coach is the part that keeps this accurate. It's a chat assistant in the dashboard that reads your settings and real call transcripts, tells you what to fix first, and proposes changes you accept or dismiss (how Coach works). Coach is in beta and never changes anything without your approval.
Ringly.io charges per phone conversation; see pricing.
Frequently asked questions
What is help desk software used for?
It turns customer requests from email, chat, social and forms into tickets with an owner and a status.
Is there free help desk software, and what are the limits?
Yes. Per SupportBee, Freshdesk offers 2 free agents, Zoho Desk 3, and HubSpot Service Hub basic tools. HeroThemes reports Help Scout's free plan covers up to 5 users with a monthly contact limit of 100.
What does help desk software cost per user per month?
Pricing is usually quoted per user, so multiply the per-user figure by the number of people who will work tickets. Check each vendor's pricing page for the current rate.
Do I need a help desk if I only use a shared Gmail inbox?
Not at first. If email is your only channel and one or two people handle it, a shared inbox works.
How do I handle phone calls in a help desk system?
Zoho Desk and HappyFox list phone as an input, but a queue doesn't answer the call. Ringly.io's Gorgias integration puts Seth calls in the helpdesk as a ticket with a summary and the full transcript.
What's the difference between SaaS and self-hosted help desk software?
SaaS help desks such as HappyFox are cloud-based, so the vendor hosts the software. Self-hosted tools are run by you instead of by a vendor.
